RESERVATION SYSTEM

Introduction
The effective and efficient use of various physical areas of our university is of great importance for both students and academic and administrative staff. Proper management of our common areas ensures that everyone can benefit from these areas at times and conditions suitable for their needs. For this purpose, we are pleased to introduce the new ‘Reservation System’, which is available to all individuals of our university.
The common areas of our university are now organised through this system. The Reservation System is currently available for the following areas/services:

  • Areas affiliated to HCS (Carpet Field, Outdoor Basketball/Volleyball Court, Sports Hall, Picnic Area, Fitness Centre, Tennis Court)
  • Distance Education shooting studio
  • Psychological counselling and guidance service
  • FEAS meeting rooms

If you inform akilliuniversite@bakircay.edu.tr about the physical areas (meeting room, laboratory, office/classroom, etc.) that are connected to your unit and need to be subject to reservation, we can include your physical area in the system.

Problem:
Reservations of meeting rooms, laboratories, sports halls and other common areas within our university are usually made manually or not made at all. This situation causes a series of problems:

  1. Double Booking and Overlaps: Manual booking systems can result in multiple bookings for the same time slot. This can lead to conflicts between users and loss of time.
  2. Tracking Difficulty: It can be time-consuming and difficult for users to keep track of their booking status and find available spaces.
  3. Lack of Efficiency: Inefficient use of physical spaces causes waste of resources and may adversely affect the overall functioning of our university.
  4. Communication Problems: Lack of communication during the manual booking process can lead to loss of booking information or misunderstandings.

Solution:
Our newly developed ‘Reservation System’ aims to eliminate these problems and facilitate the management of our common areas. The main advantages of our system are as follows:

  • Easy and Fast Reservation: Thanks to our user-friendly interface, you can quickly reserve the space you want with a few clicks.
  • Real Time Tracking: Bookings are updated instantly and can be viewed by other users. In this way, double bookings and conflicts are prevented.
  • Reminder: By receiving reminder mails about your bookings, you will not forget the events you have planned.
  • Data Analysis and Reporting: Usage data is analysed and reports are generated on which areas are used, how often and how they are used. This helps the university administration to manage resources more efficiently.

Features:

  • Ability to open or close the reservation completely at once
  • Defining pop-up content before and after application
  • Ability to change the contents of the mail to be sent after the application, if the administrator approves, if the administrator rejects and if the applicant cancels himself/herself
  • Prevent multiple bookings in certain time intervals (e.g. one person can make only 1 reservation in 1 hour).
  • Completely closing the reservation on certain dates and time intervals (e.g. Restricting the facility reservation from 01/01/2023 at 08:00 AM to 01/02/2023 at 05:30 PM)
  • Closing the reservation on certain days and times (e.g. restricting the property reservation every Monday between 12:00 AM and 13:59 PM)

With the new "Reservation System", we aim to use the physical spaces of our university more effectively and efficiently and to offer solutions that meet the needs of all our users. We believe that this system will make university life more regular and organised.
